We are looking for a motivated and experienced Transfer Team Leader to join our team in Luxembourg. In this role, you will be responsible for overseeing and coordinating the day-to-day operations of the transfer team, ensuring a high level of accuracy, compliance, and client satisfaction. You will manage incoming fund transfers, optimize workflows, lead a small team, and collaborate with internal departments and external partners such as Transfer Agents and custodians. This role plays a key part in ensuring seamless fund transfer operations and maintaining high standards of client service.

Key Responsibilities

Operational Duties

Ensure accurate and timely processing of incoming asset transfers in accordance with fund regulations.

Execute client transactions upon receipt of contract notes.

Investigate and correct erroneous or incomplete transfer instructions.

Handle transfer cancellations and ensure timely communication with clients.

  • Follow up on pending trades and liaise with Transfer Agents (T.A.) for execution.

Coordinate settlement instructions and depository information with counterparties to ensure smooth execution.

Maintain accurate and up-to-date databases of client and transaction data.

Open and manage custody accounts with Transfer Agents.

Respond to inquiries from clients and Transfer Agents.

Distribute incoming queries to appropriate internal teams.

Systems & Testing

Document testing outcomes and system issues for continuous improvement.

Perform SWIFT testing with clients and T.A.s.

Monitor and manage JIRA tickets.

Lead testing phases for new system developments or process improvements.

Support system migrations and contribute to IT-related enhancements.

Team Leadership

Coordinate team shift planning.

Manage team members' holiday and remote work schedules.

Assign tasks and monitor workload distribution.

Set clear performance objectives and support employee appraisals.

Train and onboard new team members.

Provide regular updates to management on team performance, challenges, and resource needs.

Continuously assess and enhance team workflows to improve efficiency and service quality.

Your Profile

Strong communication skills and ability to foster a collaborative team environment.

Bachelor's degree in Business, Finance, Economics, or equivalent professional experience in the investment fund industry.

Minimum 3 years' experience in a similar environment, ideally within a fund platform.

Strong organizational skills and the ability to manage multiple priorities in a fast-paced environment.

Proactive and solution-oriented mindset.

Team leadership experience and excellent interpersonal skills.

Fluent in German and English (written and spoken).

Technical Skills

Experience with the following systems / tools is preferred :

Communication & Office Tools : MS Office, MS Teams, Outlook

Project & Workflow Management : JIRA, Confluence, DocuSign, PDF X-Change

Fund Administration & Settlement Systems : Olympic, CFS Portal Clearstream, Swift Alliance Cloud, XACT (Clearstream)

Security Settlement : Swift Alliance Cloud, XACT (Clearstream)
