The Faculty of Science, Technology and Medicine (FSTM) at the University of Luxembourg contributes multidisciplinary expertise in the fields of Mathematics, Physics, Engineering, Computer Science, Life Sciences and Medicine.

Your role
Your role is to provide effective and efficient administrative support to the Department of Physics and Materials Science (DPhyMS). Embedded in a committed team, you work closely with the other DPhyMS Professors, Researchers, Administrative Assistants and the central services of the University, notably the accounting department (SFC), logistics (SLO) and external suppliers.
Concretely, the job includes the following tasks :
- Administration of business trips, acquisition orders, processing of invoices
- Budget follow up
- Organisation of conferences, events, logistics, etc
- Welcoming visitors, sorting out mail, handling phone calls
- Support for presentations and lectures
- Liaise with the university administration
- Support with social media & communication material
- Collaboration with international partners
- Project monitoring with regards to the administration part of the projects
Your profile
Graduate secretary or equivalent by work experience5 years of experience in administration / secretary's office, preferably in a research or academic environmentFluency in English is required. Proficiency in French is preferred. Knowledge of German and Luxembourgish is considered an assetExcellent communication skillsExcellent organizational and prioritizing skills with attention to detail and accuracyProficiency with modern office software, spreadsheets, content management systems and collaborative platformsProactive, reliable, open-minded and diplomatic with the ability to work in a fast-paced international academic environmentAbility to adapt to a multicultural and multilingual environmentWe offer
