Guardian Bascharage in Luxembourg is looking for an Office Manager / Administrative Assistant. This is a dynamic and complete role, where you’ll be able to act as a self-directed problem solver. This is an ideal role for someone able to cope with a multitude of various tasks, with a bias for action and solution oriented, while willing to be part of an integrated team. It requires proactive and hands-on support, attention to detail, high level of organization and effectiveness, high command of Microsoft office tools and the ability to work with leaders, employees and hourly operators throughout the organization. We require excellent communication skills. The role could be full-time or part-time (80%) according to candidate’s experience and ability to deal with the role requirements.
What You Will Do
- Main go-to person for Plant enquiries , you know how the plant works, and you are able to come alongside various requests, including but not limited to :
- Travel arrangements for the Plant Manager and his leadership team.
- Organization of in-house or off-site conferences,
- Coordinate and organize plant’s visits – ability to deal with VIP and protocols
- Support for team meetings arrangements
- Celebrations and events : help to maintain a solid well-being atmosphere in the plant through various yearly events : Easter, Halloween, Christmas lunches. Manage budget.
- Maintain good communication inside the plant and manage different communication channels (TV, posters, PowerPoint, etc…)
- Own Staff Meetings organization and support the team in preparation (rooms, slides, connectivity, etc.)
- Provide onboarding support for new hires so to make sure all is ready for Day 1 : welcome package, desk, badges, etc. This requires coordination and interactions with various departments.
- Manage co-funding files with INFPC from A to Z.
- Strong organizational and planning skills in a rapidly changing manufacturing environment.
- Work closely at any level of the organization : from leadership to hourly operators, as well as the Staff Delegation. You are force of proposal with a ‘can-do’ attitude.
- Invoices management (from supplier onboarding to data entry).
- Make office supplies, goodies and equipment orders and maintain proper stock level
- Ownership of facility management vendors, including cleaning company, catering and security services.
- Team members back up and support (this includes our European Headquarter in Bertrange).
- Implementing and maintaining procedures.
- Participation in projects, like ERP implementation.
Who You Are (Basic Qualifications)
Experience in an administrative support role in a manufacturing / industrial environment.Demonstrated effective verbal, written and interpersonal communication skills with effective, proactive and timely communication.Ability to maintain confidentiality and adapt to different roles and business landscapes.Experience creating, managing, and updating content using Microsoft tools (Excel, Outlook, Word, PowerPoint, Microsoft 365).Self-driven attitudeFluency in English and French.What Will Put You Ahead
