Job description

We are looking for a motivated and reliable Office Manager to support the daily operations of our Luxembourg office. This is a part-time position (a few hours per day, Monday to Thursday) ideally suited for someone who enjoys a dynamic, hands-on role in an international environment. Your Role Oversee the daily operations of the office, including meeting room scheduling, office supplies, catering etc. Act as the primary point of contact for external service providers (e.g., cleaning, maintenance, building management, landlord). Manage postal services : receive, open, scan, archive, and distribute incoming correspondence; prepare and dispatch outgoing mail with appropriate follow-up. Maintain organized filing and archiving systems, both digital and physical. Plan and coordinate team lunches, wellbeing initiatives, office events, and off-site activities to promote collaboration and a positive workplace culture. Liaise with the ICT team at head office to ensure alignment on hardware, software, and system requirements. Oversee the allocation, tracking, and maintenance of IT equipment (laptops, monitors, accessories). Support onboarding of new employees by coordinating workstation setup, IT access, and office orientation. Ensure compliance with internal processes, policies, and health & safety requirements in line with Group standards. Contribute to the continuous improvement of administrative processes and operational efficiency within the Luxembourg office. Serve as a reliable point of contact for ad-hoc tasks and support requests from the local team. Your Profile : Completed commercial or administrative education (e.g., office management, business administration) or equivalent professional experience. Minimum of 2 years of experience in office administration, operations coordination, or executive support. Excellent organizational and multitasking skills with strong attention to detail and follow-through. Hands-on, service-oriented mindset with the ability to anticipate needs and take initiative. Strong interpersonal and communication skills — capable of engaging confidently with colleagues, management, and external partners. Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) with experience in SharePoint or other digital filing tools; comfortable handling IT coordination tasks such as hardware setup, system access, and basic troubleshooting. Fluent in English (written and spoken); knowledge of French and / or German is a plus. Flexible and proactive team player with a positive, solution-oriented attitude.
