If you are an experienced Receptionist / Administrative Assistant, you will provide high-quality administrative support in French and English. This role is key to ensuring smooth daily operations by supporting lawyers, office staff, and their teams, while delivering professional and efficient service to both internal and external clients. The successful candidate will work closely with colleagues across the office and liaise with external contacts, contributing to the effective functioning of the office and supporting its business objectives.
Description
- Serve as the first point of contact, providing a professional, efficient, and welcoming experience for clients, visitors, and staff.
- Manage incoming calls using a telephone system, ensuring professional and courteous communication.
- Coordinate video conferences and liaise with internal and external teams as needed.
- Organize travel logistics and workspace arrangements for visiting colleagues and clients.
- Oversee the booking, setup, and maintenance of meeting rooms, ensuring all facilities are clean and operational.
- Arrange catering and refreshments for internal and external meetings.
- Provide general administrative support to ensure smooth daily office operations.
- Assist with finance-related tasks, including invoice processing and expense management.
- Maintain records related to building access and security for staff and visitors.
- Support workplace health and safety initiatives, including acting as a First Aider or Fire Warden.
Your profile
Fluent in French and English. Knowledge of German and Luxembourgish is a plus.At least 2 years of experience in a similar role, preferably within a professional services environment.Strong telephone etiquette and interpersonal skills, with confidence in interacting with clients and colleagues at all levels.Professional and approachable demeanor, presenting a friendly and welcoming attitude at all times.Excellent organizational and multitasking abilities, with the capacity to prioritize tasks effectively.Proficient in Microsoft Word, Excel, and Outlook; experience with Cisco phone systems is advantageous.Willingness to work occasional overtime to support business needs.Offer
