Tasks
- Coordinate and manage the executives’ calendar and resolve scheduling conflicts
efficiently
Handle matters with a high degree of confidentiality and discretionEnsure confidential documents are handled securelySchedule internal and external meetings, calls, and appointmentsCommunicate on behalf of the executives professionallyBook flights, hotels, ground transportation and handle travel issues or last-minute changesTake detailed meeting minutes and prepare agendas and briefing materialsTrack action items, deadlines, projects timelines and follow up on deliverablesFile and organize documents (physical and digital)Support in daily internal operationsAssist with research and compiling reportsEvents coordinationManage public relations and help building strong working relationships on behalf of the executives by communicating internally with the rest of the employees and consultantsReview legal documents (commercial NDAs and commercial contracts), get them signed by the CEO and send them to the relevant partiesFile shipping documents and internal, external Purchase OrdersScreen and manage emails, calls, and correspondenceHelp prioritizing tasks and manage the executives’ time effectivelyOccasionally assist with personal tasks (scheduling, errands, reservations)Requirements
Bachelor's degree in Business Administration, Operations Management, or a related field.Minimum of 1 year of experience in an operations or administrative role.Strong organizational and multitasking skills with the ability to prioritize tasks effectively in a fast-paced environment.Excellent communication skills, both written and verbal, with proficiency in Microsoft Office Suite.Demonstrated problem-solving abilities and attention to detail to ensure efficientoperational processes.
Has a driving licenseAlready a resident in Europe or has an European visa
