We're looking for a Corporate Department Coordinator to join our team in Bertrange and play a key role in ensuring the smooth and efficient running of our Corporate Department. Reporting to the Deputy and the Head of Business Unit, you will oversee the coordination, quality control, and process optimisation of client files — from onboarding to closing. Your role will be central to maintaining the high standards of service excellence our clients expect and ensuring a collaborative, efficient workflow within the team. What You'll Do Ensure Quality and Compliance Oversee the quality of work delivered by the Corporate team at every stage of client file management. Guarantee strict adherence to internal procedures to ensure compliance, accuracy, and client satisfaction. Conduct regular internal audits to identify process gaps and implement improvements. Contribute to the development and roll-out of new procedures that enhance efficiency and service quality. Coordinate and Organise Team Activities Supervise and prioritise the work of Corporate Officers to ensure smooth coordination and time management. Allocate files based on individual skills and workload balance. Develop and monitor performance indicators and tracking tools to optimise team efficiency. Support Client File Closings Take an active role in client file closings, ensuring all administrative, legal, and tax steps are completed correctly and on time. Collaborate with legal and accounting teams to finalise and deliver all required documentation. Lead Client Onboarding Drive the onboarding process for new clients, from document collection to initial setup. Ensure clear communication with clients and the Compliance department to guarantee a smooth and timely onboarding experience. Manage Billing and Budgets Oversee client billing processes in collaboration with Corporate Officers, ensuring accuracy and timeliness. Monitor project budgets, analyse variances, and recommend corrective measures when necessary. About You Experience Minimum 3 to 5 years of experience in a similar role within a fiduciary or corporate services environment. Solid background in client file management and team coordination. Skills Proven expertise in quality control, process management, and organisational optimisation. In-depth understanding of Luxembourg corporate and fiduciary regulations. Strong project management and multitasking abilities. Languages Fluent in French and English (both written and spoken). Luxembourgish and / or German are considered a plus.
