About The Opportunity
On behalf of our client, a prominent and fast-paced player in the financial investment sector, we are seeking a highly organised and proactive Senior Administrative Assistant. This is a fantastic opportunity to become an essential part of a dynamic team, providing high-level support to a senior Director and contributing directly to the operational excellence of the department.
You will be the backbone of the team's administrative functions, ensuring seamless coordination and efficiency in a challenging and rewarding international environment.
Your Key Responsibilities
As a Senior Administrative Assistant, you will be entrusted with a variety of critical tasks, including :
Executive Support & Calendar Management : Act as the primary gatekeeper for the Director's schedule, expertly managing a complex calendar of internal and external appointments, and preparing necessary materials to ensure the Director is always ahead of the curve.
Meeting & Event Coordination : Seamlessly organise departmental meetings from start to finish, including preparing agendas, distributing materials, coordinating logistics, and meticulously recording minutes when required.
Financial System Administration : Accurately create and maintain investment fund data within specialised financial software (experience with systems like eFront is highly valued), following established best practices.
Travel & Expense Management : Arrange complex international travel itineraries and ensure the timely and accurate processing of all related expense reports in full compliance with company policy.
Invoice & Payment Processing : Manage the departmental invoicing lifecycle, from data entry in the financial system (e.g., PSFT) to tracking approvals and ensuring prompt payment to vendors and partners.
Departmental Operations Support : Serve as a central point of contact for administrative needs, maintaining key project logs and contributing to the overall efficiency and smooth operation of the department.
What You'll Bring to the Table

Proven Experience : A minimum of three (3) years of professional experience in an administrative or executive assistant role, ideally within a financial services, investment, or demanding corporate environment.
Exceptional Organisational Skills : A natural talent for multitasking and prioritising, with a proven ability to meet tight deadlines without compromising on quality.
Tech-Savvy : High proficiency in the MS Office Suite and confidence in using administrative and financial management systems. Familiarity with eFront and / or PSFT is a significant advantage.
Superior Communication : Flawless written and verbal communication skills in English are essential. Proficiency in another European language would be a distinct asset.
