For one of our clients, a European Institution located in Luxembourg Kirchberg, Sofitex Talent is currently looking for a :
Senior Administrative Assistant (M / F)
The incumbent(s) report to and work under the supervision of senior members of the Investment Office / CFOS Department.
The purpose of this position is to provide high-level administrative and organisational support to the Investment Office / CFOS Director and the wider department, ensuring the efficient coordination of calendars, meetings, travel, financial processes, and departmental operations. By managing essential administrative workflows and systems, the role contributes to the smooth functioning of the department and supports the Director in delivering on strategic and operational priorities.
Responsibilities :
Manage the calendar of the Investment Office / CFOS Director, including the scheduling and organisation of internal and external meetings.
Coordinate and organise meetings for the entire department, including preparing agendas, circulating documentation, and, where required, attending to record minutes.
Create and maintain new deal funds in the eFront system in accordance with established procedures.
Organise and coordinate official travel for department members and prepare and process related expense claims in line with internal policies.
Handle departmental invoices by entering them into the PSFT system, ensuring completeness, and following up to secure approval and timely payment.
Provide general administrative support to the Director and the department (e.g. by keeping logs of activities and projects), contributing to the efficient functioning of daily operations.
Profil
A minimum of three (3) years’ relevant professional experience in similar position
Excellent organisational and time-management skills, with the ability to manage multiple priorities and strict deadlines.
Strong proficiency with administrative and financial systems; experience with eFront and PSFT is an asset.
Excellent written and verbal communication skills in English; knowledge of additional EU languages is an advantage.
High level of accuracy, attention to detail, and professional discretion.
This is an opportunity for a long term temporary contract (initial 2-month contract + several extensions).
Salary : depending on years of experience - between 3300 et 5300€ gross
